Procedure: Review

Introduction
The senior manager needs to periodically review the EMS and the winery's environmental performance. This is necessary to ensure:

  • the winery is complying with its legal obligations
  • environmental risks have been identified and are being adequately controlled
  • the Cleaner Production Program and other improvement projects are delivering environmental and cost benefits.

Procedure

Step 1: Plan the Review Agenda
Review meetings should be held at least every six months. In early stages review meetings should be held more frequently.

Plan the meeting agenda – the lists of items below may be useful.

The following issues should be addressed at every meeting:

  • review actions from the last review meeting
  • review environmental monitoring results and assess legal compliance
  • consider any complaints received, or concerns expressed by regulatory authorities
  • review any environmental incidents
  • review progress and outcomes of cleaner production and other improvement projects.

The following issues should be reviewed at least once each year:

  • need for establishment of new long-term environmental improvement goals
  • establishment of new improvement projects to achieve these goals
  • effectiveness of the EMS in controlling environmental effects and reducing environmental risks
  • any changes in legal obligations, and changes at the winery required to meet these changes

The following issues should be actioned at least every two years:

  • review of the winery's environment policy (click for help in drafting an environment policy).
  • initiate execution of all the EMS procedures to review all aspects of the EMS.

Step 2: Conduct the Review Meeting
These meetings should be run by the senior manager, and all staff responsible for the winery's environmental performance should attend. Involving staff at all levels can often attract useful suggestions.

Distribute the agenda well before the meeting so that those attending can compile the information required at the meeting.

Conduct the review meeting. Before the meeting is concluded, check that:

  • all actions from the meeting are recorded, along with the name of the person responsible for each action and a timeframe for its completion
  • the date for the next meeting has been set.

Make sure the meeting minutes are circulated promptly to all present (and anyone else responsible for actions from the meeting)

You have completed the last EMS procedure. If you have not initiated the Cleaner Production Program, you may return to the main menu and start the program.
