Waste Tracker is an electronic system that tracks reportable priority waste in Victoria. It replaces EPA's former waste transport certificate system.

What it does

  • It tracks the movement of reportable priority waste in Victoria
  • It helps you meet your obligations to inform the EPA every time reportable priority waste changes hands.
  • It allows EPA to see the handling of waste around the state in real time. This supports our compliance work, and helps us to see any unusual activity around Victoria.
  • Learn about the features of EPA’s waste tracking system.

Waste Tracker does not replace commercial transaction records, logistics or inventory management systems.

Who needs to use Waste Tracker

Under the Environment Protection Act 2017 (the Act), anyone who handles reportable priority waste must let EPA know every time it changes hands.

Waste Tracker enhancement project

This section has not been updated since November 2022. The list of waste tracker enhancements and planned releases may not be up to date.

EPA is making a range of changes to Waste Tracker following consultation with industry in late 2021. The project will run until March 2023. Enhancements will be regularly released, with the first release in December 2022.

Planned enhancements include:
  • The ability to extract waste record information
  • Improvements to the grouped waste record function
  • The ability to search for your nominated transporter and receiver
  • The ability to select the proposed receiver site
  • An improved permission site list for receivers when receiving waste
  • The ability to recognise other ‘lawful place’ provisions, like exemptions and authorisations of discharge or disposal (ADD)
  • An Application Programming Interface which will enable businesses to use an alternative waste tracking system but still provide information to EPA in required timeframes.

EPA will continue to make improvements to increase the performance of the system.

Waste Tracker system upgrades (Sept 2022)

EPA has made a range of improvements to Waste Tracker following consultation with users in 2021. These improvements went live on 3 September 2022.

Portal dashboard

  • New search and filter fields to locate waste records
  • Automatic removal of cancelled records from dashboard.
  • Dashboard will display the actual producer, as opposed to who created the waste record.
  • Default dashboard view will be My waste records (previously My grouped records).

Waste records

  • Removal of proposed transporter and receiver from waste records if the waste code is changed.
  • Transporter administrative logins can view and edit grouped waste records created by another transporter administrator.
  • Cloned records will detail when the record was cloned and by whom.
  • Removal of site manager details.
  • Note drivers no longer need to manually input their vehicle identification number (VIN) when completing waste records. This change responds to feedback from industry and will be formalised by a proposed amendment to the Environment Protection Regulations 2021 which currently require waste transporters to enter VIN data.

Waste Tracker mobile app

  • Option to save vehicle details in your driver profile and add them to your individual waste records.
  • Producer names and pickup addresses visible to drivers on the dashboard.
  • New search fields to locate waste records.
  • Improved offline functionality.  Waste records actioned offline will automatically update when you are back online.
  • Automatic background refresh to ensure users have up to date information.
