Privacy collection statement

This page sets out how EPA Victoria collects and manages personal and health information.

For this privacy collection statement, ‘information’ refers to personal information, health information and website statistics.

What information we collect

We may collect information you choose to provide, including through online forms such as the pollution report form. This may include health information about your physical health, injuries, medical conditions or disabilities, where relevant to a pollution incident.

We may also collect information when you provide feedback on our services.

How we use your information

We use the information you provide only for the purpose it was collected, or for a directly related purpose. We will not use or disclose your information for any unrelated purpose unless:

  • you agree to it (including as explained when the information was collected)
  • use or disclosure is authorised or required by law.

Who we may share information with

We may share your information with:

  • our project teams, other Victorian Government departments, agencies and authorised third parties who need it to perform their functions or assist you
  • contractors who provide services on our behalf (including communications)
  • service providers who manage our systems, such as stakeholder databases, contact centres and email services.

Occasionally, we may use third-party event management providers like Humantix to manage event invitations and registrations. Any information shared with these providers is subject to their privacy policies. View the Humanitx privacy policy.

We may also share information with other public authorities as required under environment protection laws or other legislation, including the Freedom of Information Act 1982 (Vic).

Anonymity

Where the law allows and it is practical, you may interact with us anonymously. Some forms show which fields are required and which can be left blank if you choose to remain anonymous. In some circumstances we may not be able to provide a service or address any issues you have raised unless we know who you are.

Your anonymity may also be affected if someone else provides us with your information.

Artificial Intelligence (AI)

We may use automated systems or data processing tools to assist in managing and analysing information provided through its services. These tools support our staff in carrying out their functions and do not replace human decision-making.

Waste Tracker App accounts

You may request us to delete your Waste Tracker app account at any time for any reason.

How to access and correct your information

You may request access to, or correction of, documents that contain your information which are in our possession. In most cases, requests for access to documents are handled in accordance with the Freedom of Information Act 1982 (Vic).

We'll take reasonable steps to correct and update any information that is established to be inaccurate, incomplete or not up‑to‑date. If we refuse your request, we'll explain our reasons in writing.

If you have a concern about how your information has been handled, contact us at complaints@epa.vic.gov.au. We aim to resolve privacy concerns in a timely and fair way.
