Waste Tracker has replaced the Waste Transport Certificate system. Anyone who handles Reportable Priority Waste from 1 July 2021 must use Waste Tracker.

To get started in Waste Tracker, complete the Waste Tracker Business set up form. Only someone authorised by the business, such as a CEO, can complete this form on behalf of the organisation.

Completing the form allows you to link employees to your business in Waste Tracker. You’ll be asked to provide business-specific information plus the names and email addresses of the employees you want to link. 

Linking your employees

You’ll need to link employees who:

  • create records for your business
  • invite and assign work to drivers
  • invite and assign people who receive waste at your site.

You don’t need to link drivers or site receivers. This is because Transporter and receiver administrators can link drivers and site receivers to their business within the system.

It’s important that the employee information you provide in the form exactly matches what the employee will use when they sign-up for a portal account. This includes their first name, last name and email address. If the information is different, you won’t be able to link to them. For example, if you list ‘Joe’ in the business sign-up form, but the employee uses ‘Joseph’ when they sign up for their portal account.

Individual users sign-up to Waste Tracker

The employees you link also need to sign-up for an EPA portal account so they can use Waste Tracker. The business set up form just allows them to be linked to your business in Waste Tracker.

If you’ve linked your employees properly, you’ll be able to see the records they create for your business.

Drivers and site receivers sign-up to Waste Tracker

Drivers and site receivers also need to sign-up for an EPA portal account so they can use Waste Tracker. Transporter and receiver administrators can then link drivers and site receivers to their business.

Processing times for sign up forms

EPA is receiving a large number of forms to process. Allow three working days for us process your information. For an update on the progress of your form, contact us via wastetracker@epa.vic.gov.au

Linked employees will receive a confirmation email to let them know they’ve been linked to their organisation in Waste Tracker.

You are required to complete the form

From 1 July you are legally obligated to use Waste Tracker.

If you’re a producer and you don’t complete the form to link your employees to your business account, you won’t be able to view waste records they create for your business.

If you’re a transporter or receiver and you don’t complete the form, your administrators won’t be able to invite drivers or site receivers into the system.
